800 & 900 Welch Biohazard Material Clean up – June 28-30

June 7, 2022 - SCI Communications

The CCTO admin team is excited to announce another large-scale office clean up at the end of June! This clean-up will be focused on unused/expired/close to expiring materials such as:

  • Glass & plastic tubing
  • Sharps & needles
  • Materials with biohazard symbols

On June 28th, large 64-gallon sharps bins and small white buckets will be placed just outside 800 Welch, near the parking lot. These bins will be available for staff to dispose of the materials listed and will be picked up on June 30th. Sorting is as follows:

  • The sharps bins will hold ALL types of clean biohazard materials (glass AND plastic tubes, needles, materials with biohazard symbol, containers, etc.)
  • The white buckets will hold ONLY PAXGENE branded tubes

A conference room will be reserved during that week for extra storage as teams sort through materials, until then please organize within your team’s space as best you can. Once the bins arrive, staff are welcome to place materials inside them – admin team will help as needed.

*If your team also has excess Styrofoam and cold packs, the admin team can collect those items that week as well.

Clinical Trials Day 2022 Celebration: Gift Card Winners

PRISM 14-day window & New Monitor Request temporary adjustment! 

May 4, 2022 - SCI Communications

Privacy will have limited resources available to approve record releases from June 20th  and July 1st for remote monitoring/audit using PRISM. 

Important updates: 

New monitor account requests must be submitted by May 27th  to be processed in time for monitoring visits occurring during this time. 

Any record release request for monitoring between June 20th  and July 1st must be submitted by June 3rd. 

We will resume the standard 14-day submission window for monitoring dates on and after July 5th (request must be submitted by June 21st)

Onsite Office Reminders: Use Headsets and Reserve Conference Rooms

Sound travels easily in our work environments. With more staff coming onsite, it’s important we remain aware of our volume levels and recognize that others around us can hear our conversations. 

Here are a few important reminders about conversations and meetings when onsite in the office.

  • Use a headset in open cubical areas when on video calls or attending trainings/webinars to avoid disrupting others. If you need a headset, or if yours isn’t working properly, please email ccto-admin@stanford.edu and the admin team will assist. 
  • All sensitive or confidential conversations (1:1s, interviews, feedback convos) should be held in a conference room or office, not in the open cubical areas. Please be thoughtful about the types of conversations you’re having in open areas. If you need a conference room or office for a meeting, please email ccto-admin@stanford.edu and we will happily find you a location.
  • Be mindful of how loud your conversations are in the aisles and working areas. While we understand teams need to be in communication throughout the day (huddles, check-ins, etc.), please keep in mind that many people’s voices at one time or loud conversations in echoey areas (such as a kitchen or printer bay) can become quite disruptive for those around you.

CCTO 800 WELCH CLEANING WEEK 2022

January 31 – February 4

KEY FOCUSES

  • All main aisle ways MUST have a three-foot clearance and no physical hazards. (We have measuring tape and will be walking around with it.)
    • YOUR ACTION ITEM: Remove/Relocate carts, boxes, shelves, and all tripping hazards from the cubical and main egress aisle areas. 
  • Tops of shelves MUST be cleared of bulky, heavy, tippable, and fragile items. 
    • YOUR ACTION ITEM: Remove/Relocate ALL binders, boxes, file holders, plants, staplers, glass/ceramic ware, 3-hole punchers, mugs and everything else that may be on the tops of shelves.

ADMIN SUPPORT

  • All staff are welcome to CLAll staff are welcome to CLEARLY LABEL boxes/items in their cube/office/team areas with the following notes, and an admin team member will come by to assist accordingly.
    • “Dispose” 
    • “Recycle”
    • “Do Not Touch” 

* If you choose to do so, please send a note to ccto-admin@stanford.edu so we know to stop by your CRG area to handle.

  • Conference Rooms have been reserved for additional organization space: 
    • FC280 – Jan. 31, Feb. 2, Feb. 3, Feb. 4
    • FC219 – Feb. 1
    • FC380 – Feb. 3

EXPECTATIONS

BREAK DOWN and PROPERLY DISPOSE of: Anything expired (most importantly space-consuming items such as kits/boxes) located within cube shelves, offices and general CRG areas.

  • Disposal Notes:
    • Plastic kit items without sharps or reagents: regular recycling 
    • Expired kit items with reagents/sharps/etc. are being collected for potential future recycling: FC280
    • Styrofoam & cold packs: FC280 & FC380 Thursday Feb. 3
    • Small amounts of unexpired kit items can go to CTRU, however they will not take bulk amounts
    • Unexpired tubes from disassembled kits can be given to the NCTN Team
  • Assigned shelves for each cube should be sorted through and organized. Anything expired/unnecessary needs to be disposed of or, if possible, sent back to sponsor/provider.
  • Patient binders/study information not currently being used should be packed up and sent to Offsite Storage (VRC, Iron Mountain, etc.) in a timely manner.
    • Offsite Storage Boxes and Labels should be ordered via your CRG admin
    •  SOP can be found here: Off‐Site Storage of Research Records
  • General cleaning of personal cube/office area and CRG group areas
    • Remove ALL items from tops of shelves, underneath desks and aisle ways to be compliant with emergency safety requirements
    •  Discard anything broken or unusable
    • Return unused/unwanted CCTO electronics, supplies or other office equipment to the admin team
